Dear all,

Following our previous communication regarding the Department of Employment and Labour conducting inspections on the premises the Department will request to inspect the following of your documents:

•             A copy of the relevant Act or determination (where applicable) accessible/ visible to your employees.
•             Attendance register (last 3 months)
•             Signed employment contracts or letters of appointment (including employees on 40-hour and 45-hour contracts)
•             Remuneration records: payslips/envelopes, overtime records, and leave pay (last 3 months)
•             Unemployment Insurance (UIF) registration number and proof of recent payments
•             Compensation for Occupational Injuries and Diseases Act (COIDA) registration number and proof of recent payments
•             CIPRO (company registration) certificate
•             Company letterhead
•             A list of all employees with full names and ID numbers

The Department will require copies of the documents listed above (of 3 employees) .

Please prepare and have them ready should they visit your establishment.

Note that this is information was obtained from the Department and will help you to prepare for their inspection.
