[Evergreen Bergvliet] Village House Rues

        Dear Residents,

I hope you are all well.

A few points relating to the house rules have been brought to my attention and I would like to ask for you support to improve overall efficiencies in the village.
Below a few points to highlight and attached a copy of the house rules if you wish to read more.

4.2 Grounds & Buildings

  *   Variation requests and any other contractors' visits - Without wanting to over manage situations, contractors need to be

made aware of village contractor protocols and very important, security protocols. We have found that some contractors

become frustrated because they are held back when not complaint with the protocols and then take it out on security

and reception staff. This can be avoided if we are able to share details relating to the work to be done with the contractors

and will also ensure the work required gets completed as quickly as possible. Please make us aware of any planned work

so that we can assist and share these protocols.

  *   Reporting of maintenance work required - Please assist us in keeping the requests for any work in writing. I understand that

there might be an urge when you see a team member in the road to ask them to report something on your behalf, but we are

often stopped by many residents and reported issues can easily fall through the cracks. By reporting it on email as far as possible

we have an accurate timeline to work on to ensure we can track reports and improve our turnaround time in assisting you.

4.4 Staff

  *   We have specific lines of communication and although we encourage a friendly relationship between residents and team

members, it cannot be to the detriment of planned work and the overall productivity of the team. We do also not encourage

personal favours or contacting team members on the private mobile numbers. This is not considered as formal communication

and interferes with work schedules and the team's efficiency. The receptionists serve as a point of contact and in case of

emergency myself and Nomfundo can be contacted on our mobile numbers during and after hours. We are always happy to assist.

4.7 Good Relations

  *   To maintain good relationships with neighbours please respect the contractor hours as stipulated. For urgent or emergency work

we can always make exceptions and advise neighbours ahead of time but only if we are made aware of arrangements.

5.7 Refuse Removal

  *   General waste collection is on a Monday and recycling on a Wednesday.
  *   Recycling gets collected from as early as 09h00, therefore all recycling must be placed outside for collection by no later than 08h00.
  *   Please no do not put recycling out the night before as it gets blown around by the wind.
  *   Please ensure that your recycling is placed in an appropriate plastic bag and that it is tied up. Loose boxes and bottles slow the team down tremendously.
